The opportunity You would work under the supervision and with the Senior Management Assistant to provide high level support to a busy, engaged, and collaborative multicultural Team in an exciting international Business environment.
Your new role After a few weeks of training with the Management Assistant Senior, you will provide an extensive support to Managers and teams as required, fostering QBE's culture and DNA, as part of the Team, for:
- Ensuring a smooth running of the day-to-day activities of the team
- Assisting in organising business travels for members of the team, ensuring they are in line with requirements and QBE policy and procedures.
- Assisting in organising internal and external meetings and events
- Completing and monitoring the travel expenses, and work with the Finance Team within the processes in place,
- Assisting in being the first contact of suppliers and complying with procurement processes
- Assisting in coordinating the invoicing process
- Handling some other general support tasks such as formatting and proofreading documents and presentations
- Occasionally translating short documents in English and Dutch/French
- Assisting in various office tasks such as filing, scanning, archiving.
- Acting as a point of reference to guide and advise others to ensure the sharing of various processes and best practice.
- Developing a close working relationship with the team.
Your profile As successful candidate, you will have:
- At least 2 years of experience, ideally as Management or Personal Assistant
- A Bachelor's degree is preferable but not mandatory
- Excellent communication skills, both written and verbal
- Excellent English (writing, reading, listening, and speaking)
- Excellent skills in one of the official Belgium languages (with a preference for French) but keen to improve languages skills through our language classes
- Excellent Word, Excel, PowerPoint, Teams, and Outlook Skills
- The ability to handle confidential information and interact with High Level Executives
- A sense of proactivity, problem-solving mind and organisation with strong attention to details
- A 'can do', flexible approach to workload and changing priorities
- Desire to work in a varied and fast paced environment
- The ability to develop good working relationships with colleagues and work effectively as part of a team
