Job Description

How will you make an impact on this role?

The Colleague Experience Group (CEG) - our Human Resources function - is focused on delivering the best colleague experience to fuel growth. We are transforming colleague onboarding into a seamless, integrated, and personalized experience.

New to Blue is our global colleague onboarding program, supporting colleagues as they join American Express or transition into new roles. We are reimagining New to Blue into a connected, scalable experience that brings together enterprise, business unit, and role learning, enabling colleagues to become effective, confident, and productive as quickly as possible.

About this role:

This TA Coordinator role is an opportunity to join the New to Blue team and support a welcoming, consistent onboarding experience for new colleagues and hiring leaders across American Express.

This role is focused on the day-to-day administrative execution of onboarding activities, including documentation, colleague follow-ups, welcome-kit coordination, and logistical support for New to Blue sessions. The coordinator will work closely with colleagues, internal teams, facilitators, and vendors to ensure onboarding activities are completed accurately and within agreed timelines.

To succeed in this role, you will need to be highly organized, detail-oriented, responsive, and comfortable managing multiple tasks and follow-ups in a fast-paced environment.

Responsibilities

  • Coordinate pre- and post-boarding documentation activities, ensuring accuracy, completeness, and timely closure of requirements
  • Maintain accurate colleague documentation and records, with timely follow-up on gaps or pending actions
  • Coordinate welcome-kit inventory and distribution across India locations, ensuring availability and timely delivery
  • Partner with vendors and internal teams to support seamless execution of onboarding-related requirements and resolve operational issues.
  • Coordinate logistics and operational readiness for in-person New to Blue sessions
  • Support virtual New to Blue sessions, ensuring effective coordination and colleague communication.
  • Track New to Blue participation and drive timely follow-ups to support completion of onboarding requirements
  • Maintain accurate trackers and status updates, proactively following up and escalating delays or issues as required
  • Provide operational and production support for New to Blue across locations
  • Managing operational trackers, maintaining accurate records, monitoring pending actions, and following up to ensure closure within defined timelines

Qualifications

  • Based in Gurgaon, with the ability to work from the office at least four or more days per week and provide on-site support for New to Blue operations
  • Working proficiency in India-specific post-boarding documentation, including PF Forms 11 and 2, gratuity nominations, and colleague declarations, ensuring accuracy, compliance, and timely closure of gaps
  • Must have provided hands-on support to the New to Blue (NTB) team within the past 12 months, covering onboarding documentation, on-site operations, and back-end administrative processes
  • Proficiency in maintaining colleague personnel records, including document, validation, follow-ups, and managing documentation workflows, and using document management systems and digital platforms
  • Hands-on capability in coordinating logistics across multiple locations, including inventory tracking, shipping, vendor coordination, distribution, and delivery follow-ups
  • Working experience in coordination with internal support teams and external vendors to resolve operational issues efficiently
